# Building Systems That Scale
If you're working IN your business more than ON your business, this post is for you.
## The Bottleneck Problem
Many business owners I work with share a common challenge: they've become the bottleneck in their own company. Every decision, every approval, every problem lands on their desk. Sound familiar?
The solution isn't working harder—it's building systems.
## The Three Pillars of Scalable Systems
### 1. Documentation
If it's not written down, it doesn't exist. Start by documenting your most repeated tasks:
- Client onboarding process
- Service delivery steps
- Communication protocols
- Quality checkpoints
### 2. Delegation Framework
Not everything needs your personal touch. Use this matrix:
- **Must be you**: Strategic decisions, key relationships
- **Train others**: Repeatable tasks with clear outcomes
- **Automate**: Data entry, scheduling, reminders
- **Eliminate**: Tasks that don't move the needle
### 3. Feedback Loops
Systems without feedback become outdated. Build in regular reviews:
- Weekly: What's working? What's not?
- Monthly: Are we hitting our metrics?
- Quarterly: Does this system still serve our goals?
## Start Small, Think Big
You don't need to systematize everything at once. Pick ONE process this week that's eating your time and document it. Then delegate it.
## The 90-Day Challenge
Over the next 90 days, aim to remove yourself from three operational tasks completely. Track your time savings and reinvest those hours into growth activities.
